Employee Onboarding Process

About: Hiring a new team member is an exciting time and we want to make sure you understand the process that is going on to get them set up with an HHM account and application access. Below is a summary of the events that occur when a new team member joins the HHM family.


New Joiner accepts position via iCIMS

After the new joiner accepts an offer from HHM, they will be prompted to complete and sign forms including:
  1. Background check
  2. HHM IT acceptable use policy
  3. Personal data intake
  4. Direct Deposit

IT receives notification from iCIMS and creates new account

Once the new joiner completes their onboarding, IT receives a notification from iCIMS with details about the new joiner including:
  1. Name
  2. Job Title
  3. Location
  4. Supervisors name
  5. Start date
Based on the job title and location, IT determines if an IT account is necessary.

If it is determined that no account is needed, a notification is sent to the supervisor explaining this.

If an account is created and new users start date is later than tomorrow, the supervisor will receive an email saying the account was created:



First time login information is sent to the supervisor

The day before the new joiners start date, an email with their first time login information will be sent to the supervisor and new joiner.

We ask that each supervisor walk their new joiner through the steps listed on this email which are:

2. Log in with their username and temporary password listed above.
3. Change their password and configure their security questions.
4. Login to Gmail with their email address as the username, and the password they just set.

New joiner changes their password and configures their security questions

Following the instructions on the email, the new joiner must change their password and configure their security questions. It's important that they do this because they can use the security questions later in the event that they forget their password or lock their account.

New joiner logs in to their HHM PC and / or Gmail

Now that their password has been changed, they are ready to logon to their PC and / or Gmail. This one password applies to both their PC and Gmail logons.

Remember that they will use their Username (Firstname.Lastname) to logon to a PC but will use their email address to logon to their Gmail. The password is the same.
